Job description
As a Marketing Operations Coordinator, you oversee the full cycle of brand assets — from packaging and gifts to window displays, retail decorations and POS materials — all within the set time and budget. As part of a small, hands-on team of three, you collaborate closely with the creative department and internal stakeholders to ensure brand standards are consistently brought to life. You report directly to the Marketing Operations Manager.
KEY RESPONSIBILITIES
Administration
Manage the supplier and invoicing process for brand materials;
Enter all costs into the system and support the monthly cost reporting in collaboration with the Marketing Operations Manager;
Work closely with the procurement and accounting departments to ensure that contracts are signed and payments are made at the right time;
Handle the booking of international travels (flights, train, taxi) related to brand materials activities;
Manage and monitor all operational system administration related to brand materials orders, purchases and payments.
POSM management
Track the flow of standard POSM’s (quantities, ordering, payment, shipment, etc.);
Manage orders from local marketing teams for standard POSM’s and track stock and costs;
Liaise with internal department to identity stock level for re-orders;
Maintain relationship with POSM suppliers;
Source new suppliers in collaboration with Procurement.
Project Management
Manage all brand materials projects from planning to production and implementation in the markets;
Ensure clear communication with external and internal parties;
Plan the project activities, time, costs and quantities, and make sure project documentation is in order;
Gather feedback and evaluate overall project progress;
Report project and budget updates to the Marketing Operations Manager on a regular basis.
Job requirements
WHAT ARE WE LOOKING FOR:
Bachelor’s degree in Business Administration or a related field;
Minimum of 5 years of experience in a coordinating role;
Experience in project management & planning in creative field;
Experience in developing and managing stakeholder relationships;
Strong communication and multi-tasking skills;
Can work autonomously;
Flexible attitude to balance between long term and fast evolving needs;
Practical administrative and management skills;
Proficiency in English language. French and Dutch language would be a plus.
